Free waiting time on airport pick-ups explained

Why airport transfers include waiting time after landing, how it is counted when flights run late, and what happens if you are held up inside Geneva Airport.

Waiting time is the period a chauffeur waits for you at the airport after your flight lands, giving you time to leave the aircraft, pass any passport control, collect bags and walk through customs. Because it is counted from the actual landing time, a late flight does not reduce it. With AirportsTransfers.ch, waiting caused by a late flight is included in the fixed price, and your booking conditions explain the details.

  • What it covers: disembarking, passport control, baggage reclaim and customs
  • When it starts: from the real landing time, tracked by the driver
  • Late flights: waiting due to a flight delay is included
  • Held up inside: send a message so the driver knows you are coming
  • Read the terms: waiting arrangements are set out in your booking conditions

Why waiting time exists

Landing is only the start of an arrival. At Geneva Airport, passengers from outside the Schengen area must pass passport control, and everyone then waits for luggage, sometimes at two places if they have skis or other oversized items. On busy winter Saturdays, with many flights landing close together, this process takes longer than on a quiet weekday. A transfer that expected you at the doors within minutes of touchdown would be unrealistic. Waiting time builds in the slack needed for a normal arrival, so you can collect your bags without feeling rushed.

How it is counted

Transfer companies generally start counting waiting time from the moment the flight lands, not from its scheduled time. This is possible because the driver tracks your flight. If the aircraft arrives forty minutes late, the driver arrives forty minutes later too, and your waiting time begins when the wheels touch the runway. That is why giving the correct flight number is essential: it allows the system to match your pick-up to reality.

The length of standard waiting time and any terms for extended waiting differ between companies. Rather than relying on assumptions, check your confirmation or the booking conditions. If you expect a long process, for example because you have to report missing baggage, let the driver know.

What if passengers are held up?

Sometimes the delay is not the aircraft but something on the ground: a long queue at passport control after several long-haul flights arrive together, ski bags taking a long time to appear, or a lost suitcase that needs reporting. These situations are common and drivers are used to them. The key is communication. A short message to the number on your booking, such as 'landed, long queue at passport control, about 30 minutes', tells your chauffeur that you are in the building and on your way.

Without that message, a driver who has watched the flight land and the crowd thin out may start to wonder whether you missed the flight or left by another exit. With it, everyone stays relaxed.

Waiting time also has a practical side for the driver. Airport car parks and pick-up areas have rules on how long vehicles may stay, and the chauffeur plans parking around your expected exit. Clear updates from you help them choose the right moment to come into the hall, so the vehicle is close by when you emerge with your trolley rather than in a distant car park.

Waiting time on departures

For pick-ups from a hotel, office or chalet, the logic is different. The driver arrives at the agreed time and expects you to be ready, because there is a flight to catch. A short wait is normal, but it is in your interest to be downstairs on time with your luggage: minutes lost at the door can become stress at the check-in desk. If you are running late, call so the driver can advise whether the departure time is still comfortable.

Tips for a smooth handover

Save the driver's contact number before you fly and keep your phone charged. Check that the flight number in your booking matches your boarding pass, especially for codeshare flights. If someone else booked for you, find out which name will be on the sign. Once you are through customs, look along the barrier in the arrivals hall before moving off, and if you cannot see your driver, call rather than leaving the terminal.
